Veterinary computer systems: all you need to know

Veterinary computer systems hold the clinical records, diary, payments and stock for a practice. How they developed from 1970s record systems to cloud software and AI, and what to check before you choose one.

Veterinary computer systems hold the medical records, schedule, billing, inventory, and daily admin for a clinic. Vets were using early systems to process records in the 1970s. On-premises PIMS products grew with the use of personal computers. Cloud software later put the database online, and AI can now draft records and handle set admin tasks.

What does a veterinary computer system do?

The main computer system in a US veterinary clinic is usually the practice information management system, or PIMS. The team uses it to record clinical care and run the business side of the hospital.

A PIMS commonly manages:

  • the appointment schedule and online booking
  • client and patient records
  • exam notes, prescriptions, and treatment plans
  • estimates, invoices, and payments
  • medication and supply inventory
  • reminders, reports, and client communications

The early history of veterinary computer systems

Veterinary use of computers began in the 1970s. A 1976 paper described a system that processed records for veterinary diagnostic labs in Queensland, Australia.

Computers reached clinical practice during the next decade. In 1986, a US journal review looked back at the early use of computers in small animal practices.

Personal computers became easier for small businesses to buy and use in the 1980s and 1990s. Vet programs then took over set paper tasks. Teams could search a patient file, post a charge, build vaccine reminders, and share a schedule across several workstations.

A later review found that practices mainly used computers for word processing and practice management. PIMS products now do more, but patient records, scheduling, and billing are still their main jobs.

Why on-premises PIMS products lasted so long

An on-premises PIMS keeps its database on a server inside the clinic or hospital. Workstations reach it through the local network. The practice owns the hardware and handles backups, updates, and IT support.

This design suited the technology of the 1980s, 1990s, and early 2000s. A clinic could use the system all day without an outside connection. After years of use, the database held a large amount of medical and financial history. A move then required careful data conversion and staff training.

Many of those products are still supported and used. Their older design can affect remote access, updates, links to new tools, and the cost of replacing local hardware.

How the veterinary software setup expanded

The PIMS remained the main record. Clinics also added software for client messages, online pharmacies, inventory, booking, payments, imaging, and reports.

The AVMA's 2025 report shows how broad that setup has become. Among the practices in its 2024 data, 76.5% used PIMS. Another 59.9% used client message software linked to PIMS, 43.5% used a digital inventory system, and 33.4% used online booking.

Those tools may sit in one product or several. Separate tools mean more logins, contracts, and links to maintain. Data from an exam may pass through the PIMS, payment service, reminder tool, and client message app before the task is done.

What cloud veterinary software changed

Cloud veterinary software runs on servers managed by the provider. Users sign in through a browser. The provider handles hosting, updates, and routine backups.

Approved staff can log in from the hospital, home, or another site. The provider can update every customer without an install on each local computer. The practice needs reliable internet and a backup connection.

Cloud products also differ in design:

  • Cloud-hosted software puts an older desktop product on a remote server. It may still need an installed app or remote desktop.
  • Cloud-native software is built to run online and link with other services through the web.

This affects device access, update speed, and how well the PIMS can share data with labs, payment services, and other systems.

How AI is changing veterinary computer systems

AI enables veterinary software to carry out actions that improves workflow speed. In other words, AI that can reduce the time veterinarians spend on admin. A 2025 study asked 3,968 veterinary workers in the United States and Canada about AI. The study found that 39.2% used AI tools for work. Among those users, 69.5% used the tools each day or week. They named time and admin savings among the main benefits.

A veterinary operating system puts the PIMS and more hospital software in one platform. Scheduling, records, payments, client messages, reports, and AI can use the same current data. Staff have less to type into other products.

  • AI review: Which actions need a veterinarian or staff member to approve them? How does the provider test errors and handle data?
  • Daily use: Can veterinarians, technicians, and front-desk staff test common tasks before signing?

Can an on-premises PIMS be moved to the cloud?

Yes. Some desktop PIMS products can run on a remote server and be reached online. This is cloud-hosted software. It keeps more of the older desktop design than a cloud-native product.

Do veterinary computer systems connect to diagnostic equipment?

Many systems can send lab orders and add results or images to the patient record. The connections differ by vendor, test type, and PIMS, so check the exact services your hospital uses.

Does a new veterinary hospital need its own server?

No. A cloud PIMS runs on the provider's servers, so the hospital does not need to buy or maintain its own main server. The clinic still needs computers, a secure network, and a backup internet connection.
